Bharath Public School

A growing school in Kasaragod was running admissions, fees, attendance, and parent communication on four separate systems — some digital, some paper, none talking to each other. We built one system that handles the daily rhythm of the school, so the staff could get back to teaching.

The Problem

Every department had its own record. None of them matched.

The school had grown steadily over the years — more sections, more staff, more parents to keep informed. The administrative load had grown with it, but the systems hadn't changed. Admissions lived in one register, fee collection in a ledger, attendance in class attendance books, and parent communication in phone calls and paper circulars.

Nothing was catastrophic on its own. Together, they created a daily friction that no one had time to solve.

Three specific problems had become routine:

  • Fee tracking was manual and error-prone. When a parent paid a term fee, the entry went into a ledger. Reconciling who had paid and who hadn't — especially across sections and payment modes — took the office days at the end of every term.
  • Parent communication was reactive. Circulars were printed, distributed through students, and often never reached home. Fee reminders went out as phone calls, and attendance concerns were only raised when a problem had already developed.
  • Admissions were a bottleneck every June. Application forms, verification, admission numbers, section allotment — every step was manual, and the admissions team spent two weeks of every academic year buried in paperwork that should have taken two days.

The school didn't need software that reinvented how education works. It needed software that matched how the school already ran — and connected the parts that had been running separately.

Part One — Admissions & Student Records

From two weeks of paperwork to two days.

Admission season used to be the busiest and most chaotic fortnight of the school's year. We rebuilt the process so it flows through one system — from the first enquiry to the first day of class.

Structured Admission Intake

Application details are captured digitally — student information, parent details, previous school records, and required documents. The form follows the school's own intake process, so nothing gets missed and no paperwork gets lost in a stack.

One Student Profile

Every student has a single record that spans their entire journey at the school — academic history, fee status, attendance record, and parent contact details. When the class teacher needs a student's history, it's one search away.

Section & Class Management

Class allocation, section division, and subject assignment are handled in the system, not on paper. Roll numbers, class rosters, and teacher assignments stay in sync across the whole school automatically.

Transfer Certificates & Documents

Transfer certificates, character certificates, and other official documents are generated from the student's profile — no manual typing, no inconsistencies between records, no delays when a parent requests a document on short notice.

Academic Year Rollover

At the end of every academic year, the system promotes students, archives the completed year, and prepares the next one — a process that used to take weeks of register-shuffling and is now a single afternoon of review.

Access Control

Admission staff, class teachers, and office administrators see different parts of the system. Sensitive information like parent financial records or medical details stays restricted to the staff who need it, when they need it.

Part Two — Fees & Payments

The term-end reconciliation that used to take days.

Fee collection is where small administrative problems compound fastest — a missed entry, a partial payment, a scholarship adjustment that isn't reflected in the ledger. We rebuilt fee management so every rupee is traceable, every record is accurate, and every parent can be answered without a trip to the office.

Fee Structure Management

Fee heads, term schedules, and class-wise structures are configured once and applied everywhere. When the school revises fees, the change propagates to every applicable student automatically — no re-typing, no missed entries.

Payment Recording

Fee payments are recorded against the student's account as they happen — cash, cheque, or bank transfer. Receipts print immediately, and the student's ledger updates in real time. No end-of-day reconciliation, no mismatch between the counter and the office.

Automated Reminders

When a term fee is approaching or overdue, the system generates a reminder that goes out through the parent communication channel — no manual phone calls from the office, no reliance on students remembering to hand over a slip.

Reports & Reconciliation

Collection summaries by class, section, or term — generated in seconds instead of days. Outstanding balances, partial payments, and concessions are visible in one place, so the accounts office always knows exactly where the school stands.

Part Three — Attendance & Parent Communication

Parents hear about it the same day, not at the end of the term.

Attendance and parent communication were the weakest links in the old system. Attendance was marked in class books and only surfaced when a problem had already developed. Circulars went out through students and often never arrived home. We closed both gaps.

Daily Attendance

Class teachers mark attendance from their own login, in a view that shows the whole class on one screen. Marking takes under a minute per class, and the data flows into the student's record and the school's daily summary automatically.

Attendance Patterns

The system tracks individual attendance percentages and flags students whose attendance has dropped below a threshold — allowing the class teacher to intervene early rather than at report-card time. Chronic absenteeism is caught in weeks, not months.

Digital Circulars

Circulars, holiday notices, exam schedules, and event announcements are published through the system and reach parents directly. No more printing, distributing through students, and hoping they arrive home. Every communication has a timestamp and a delivery record.

Direct Parent Alerts

Absence notifications, fee reminders, and important updates go to parents the same day they occur. A parent whose child was absent in the morning hears from the school by afternoon — the school no longer waits for the parent to notice.

Report Cards & Progress

Term-end report cards are generated from the system — marks entered by class teachers, formatted in the school's standard template, and printed or shared digitally. No re-typing, no formatting errors, no delays in issuing results.

School Calendar

Events, exams, holidays, and meetings live in one calendar that both staff and parents can reference. No more confusion about dates because a printed circular was misplaced — the calendar is always one tap away.

The system has been running since 2019 — six academic years through admissions cycles, fee revisions, exam seasons, and a pandemic that changed how schools communicate. Every year, it does the same quiet job: it lets the teachers teach, and lets the office do in an afternoon what used to take a week.

The system has been running for years now, and it has grown with us. Admissions, fees, and parent communication that used to be a daily challenge are now routine. Our staff can focus on the students.
